Internal Administration Coordinator
POSITION PURPOSE
The Internal Administration Coordinator provides internal sales, customer service, order processing and general administrative support to the business. The role coordinates between customers, sales, warehouse, finance and management to ensure efficient order fulfilment and smooth day-to-day operations.
KEY RESPONSIBILITIES
Answer incoming calls and respond to customer enquiries professionally and provide product information, stock availability and general sales support.
Prepare quotations and process customer orders accurately on the ERP system.
Liaise with customers and sales representatives regarding orders, deliveries and queries.
Coordinate with the warehouse to ensure orders are picked, packed and dispatched correctly.
Assist with picking, processing and preparing warehouse orders when required.
Process and coordinate e-commerce orders, including fulfilment and customer communication.
Provide general finance and accounts administration support, including invoicing, credit notes and customer account documentation.
Perform general office administration, filing, scanning, data capturing and document management.
Support management and other departments with general administrative and operational tasks.
Maintain a high standard of customer service and confidentiality.

REQUIRED SKILLS & EXPERIENCE
Grade 12 / Matric or equivalent.
Previous experience in internal sales, customer service, administration or order processing.
Proven experience in debtors and creditors administration.
Strong organisational skills and attention to detail.
Good verbal and written communication skills.
Computer literate with good knowledge of Microsoft Office, particularly Outlook and Excel.
Experience with ERP, CRM, e-commerce or warehouse systems advantageous.
Experience with XERO accounting software is highly advantageous.
Basic understanding of invoicing and finance administration beneficial.
Customer-focused, proactive, reliable and professional.
Willingness to work across multiple areas of the business in a hands-on environment.
